Open actions from meeting on 10th May 2021

1.The FAS Members Handbook contains personal emails and phone numbers.

Action: Review Observatory User Manual to remove private emails and telephones – AC/EG – Complete

2. Support for filming at Aldershot Observatory

Action: Requires a member of FAS present to provide access and assist with telescope – EG/DT – Complete

3. Membership secretary leaving

Action: Summarise the role of membership secretary – RS – Complete

Action: Any volunteer for membership role – AC will manage this role until AGM where members can elect a new membership secretary.

4. Observing at Alice Holt

Action: Still trying to make contact with Alice Holt to renew our observing contract – DT

Open actions from meeting on 5th July 2021

 1. Speaker programme

Action: Confirm October speaker – KP – Complete

Action: Invite Graham Bryant to talk on “Astro Alignment of Stone Circles” and/or “Lovells Canals of Mars” at the October or November monthly meeting – KP

2. ACC’s current position and applicable COVID rules

Action: Contact ACC for meeting room use guidelines – this has been delayed until after the new rules are announced on 17th July. – Feedback shared with DT/KP and incorporated into invite to test event. – JR – Complete

 3. What should FAS do?

  • Individual members choice to attend ACC meetings or continue with Zoom.
  • 10th August meeting via Zoom only (ACC room double booked)
  • 17th August trial meeting receiving and broadcasting Zoom to ACC
  • 14th September meeting at ACC (and via Zoom?)

 

4. Mini Trial ACC meeting on 17th August

  • Outline meeting principles to members and request volunteers
  • Select first 25
  • Arrive via main door and maintain social distancing optionally wear face mask
  • Sanitise hands on entry
  • Sign in
  • Collect own chair, sanitise and position at appropriate distance from other chairs
  • Watch presentation broadcast by KP from home via Zoom and projected onto screen
  • Put away own chair and sanitise
  • Optionally, if ACC bar open take refreshment
  • It is unlikely that tea/coffee and biscuits will be available
  • Leave via the exit at the rear of the room
  • Maintain social distancing, face masks, sanitising,  when using the toilets

 

5. Possible problems broadcasting meetings

  • Possible technical issue with internet access from ACC – DT
  • Possible IPR (Intellectual Property Rights) infringements when broadcasting speakers talk from ACC. – Monitor for speaker/website content which is not credited to owner. As FAS is not “publishing” talks via YouTube or the web, understand the responsibility is the presenters.  – Complete

 

6. Refreshments at ACC

Joy Shenton has resigned from tea making. Lynne Watson is looking for an apprentice.

 

7. PLI (Public Liability Insurance) issues

PLI insurance provided through FAS (Federation of Astronomical Societies) is very generic. It covers members of the public attending society events but possibly not society members at events.

Action: Monitor FAS strategy also investigate alternative policies – DT/JR
